Assistant to Director (Business Operations Assistant)

Type: Full-time

Reports To: Director

Salary: From R8 000pm to R15 000pm

Role Summary:
The Business Operations Assistant (Assistant to Director) serves as the right hand to the director and is responsible for keeping internal operations aligned, ensuring deadlines are met, and serving as the connective tissue across functions. This is not a “PA” role. You will play a critical role in coordination, documentation, follow-ups, and systems enforcement.

Key Responsibilities:

1. Operations Oversight

  • Track task completion across sales, admin, marketing, and service teams.
  • Maintain operational checklists and ensure accountability via follow-ups.
  • Monitor performance of various team members across different platforms and report periodically
  • Occasional Canva and Meta Campaigns set up

2. Project and Task Management

  • Support implementation of new systems, SOPs, and internal initiatives.
  • Document processes (Loom, Notion, checklists, etc.) for repeatability and clarity.
  • General issue management and handling

3. Communication & Liaison

  • Handle internal comms.
  • Support and initiate external communication with partners, suppliers, and clients as needed.

4. Hiring & Onboarding Support

  • Coordinate recruitment logistics (interview scheduling, follow-ups, onboarding material).
  • Assist in onboarding new hires with proper documentation and access control.

5. Document & Data Management

  • Organize digital files, templates, and documentation across cloud platforms.
  • Assist with reporting (compiling daily/weekly summaries).

6. Executive Coordination

  • Manage calendars, schedule internal/external meetings, and support director time-blocking.
  • Serve as the gatekeeper for incoming requests and tasks.

What You’ll Need to Succeed:

  • Strong administrative coordination and follow-through.
  • Systems and checklist thinker.
  • Excellent written and spoken communication.
  • Proficient with Google Workspace, Google Meet, Zoho Apps, WhatsApp, and Notion (or able to learn).
  • Strong attention to detail and a sense of urgency. Ability to always meet deadlines is key
  • Able to handle sensitive business information discreetly.
  • Ability to work independently and initiate critical work without being told
  • Comfortable in fast-paced, high-accountability environments.

Bonus If You Have:

  • Familiarity with Zoho (Bigin, SalesIQ, Campaigns).
  • Background in working with small business operations.
  • Experience in HR administration or process management.

Work Schedule:

  • Monday to Friday
  • Core hours: 8AM to 5PM
